Question 1

What is AITEZA?

Accepted Answer

AITEZA organises your documents in datarooms: one for every customer, project and department, each with its own permissions. With Relay you open a room to customers and partners, without an account and with an expiry date. Your team and your customers ask the documents directly and get answers with sources.
The AI is the tool inside the room: it searches, summarises, checks and creates documents, always based on the documents you make available to it. The features page gives you an overview.

Question 2

What is a dataroom?

Accepted Answer

A dataroom is the fixed place for all documents of a customer, a project or a department. You can nest folders as deep as you need, give people and groups their own permissions and keep versions and a change history for every file. For each room you also decide which instructions and which AI models are used. Learn more under datarooms.

Question 3

How does AITEZA differ from ChatGPT, Copilot or Gemini?

Accepted Answer

AI assistants like ChatGPT, Copilot or Gemini help individual people in your team. AITEZA organises your documents per customer and project in datarooms, brings your customers in via Relay and answers questions from the documents in the room, with sources. Your data stays in Germany and is not used for training.

Question 4

Where is my data stored?

Accepted Answer

In the AITEZA cloud, your data is stored in data centres in Frankfurt am Main, Germany, and we run the AI models in EU regions. With the Standard plan you get your own separate server environment, and with Enterprise AITEZA runs on your own hardware or in your private cloud. You decide which AI models process your content, per company, group and dataroom. The security and data protection section gives you an overview.

Question 5

Is AITEZA GDPR compliant?

Accepted Answer

Yes, AITEZA is GDPR compliant: weyer data engineering gmbh signs a data processing agreement with you under Art. 28 GDPR, discloses all subprocessors and processes your data only for the agreed purpose. Data is stored in data centres in Frankfurt am Main, and the AI models run in EU regions. Your documents and questions are never used to train AI models.

Question 6

What does AITEZA cost?

Accepted Answer

In the AITEZA cloud (SaaS), AITEZA costs 55 € per user and month plus a monthly base fee of 199 €, with no setup fee. Standard, your own environment managed by us, costs 30 € per user and month, and Enterprise, on your own hardware or in your private cloud, costs 40 € per user and month. Both have a one-off setup fee of 5,000 € and cost 89 € per month for maintenance and updates. On every plan, AI token costs are billed by usage, and Standard and Enterprise add external server costs. Every plan includes all integrated AI models, automatic model selection and the option to use self-hosted models. All prices are plus VAT. The pricing calculator shows you in a minute what AITEZA costs for your team.

Question 7

Which companies is AITEZA suitable for?

Accepted Answer

For everyone who works with lots of documents per customer or project and shares them with customers and partners. Typical examples are construction and architecture, engineering firms, tax advisors, law firms, property managers and quality management in manufacturing. The industry pages show how AITEZA is used there.

Question 8

How do I share documents with customers and partners?

Accepted Answer

With Relay you open a dataroom to customers and partners without them needing an account. They always see the latest version, can download and upload files and, if you allow it, ask the documents questions themselves. Access ends on the date you set or as soon as you end it, and every access is logged.

Question 9

Can Microsoft Copilot do the same as AITEZA?

Accepted Answer

Not in the same way: with AITEZA you decide which customer, project or department dataroom the AI searches, while Copilot usually decides itself and searches everything you can access. So AITEZA answers do not mix up projects or pick up an outdated draft, and every statement links to its source.
AITEZA also adds what an office assistant lacks: Relay for customers without an account, plans and drawings as lasting dataroom knowledge, workflows with fixed criteria and free choice of AI models, hosted in the EU or on-premise.

Question 10

What does the AITEZA setup fee include?

Accepted Answer

For the Standard and Enterprise plans, the one-off AITEZA setup fee of 5,000 € covers setting up your environment. Training, data migration and workflows are billed separately by effort, so you only pay for the services you actually need. Maintenance and updates cost 89 € per month. All prices are plus VAT.

Question 11

What do companies use AITEZA for?

Accepted Answer

Typical tasks are: organising documents per customer or project and sharing them with the customer, answering questions on contracts, minutes and drawings with sources, checking quotes or certificates against fixed criteria with a workflow and creating reports or quotes in your corporate design. You will find concrete examples on the industry pages.

Question 12

How does AITEZA arrive at its answers?

Accepted Answer

AITEZA searches the datarooms you select for a question, reads the relevant passages and writes the answer from them. Excel sheets are analysed exactly instead of estimated. Every statement names its source, and one click opens the original at the highlighted passage. Learn more under answers with sources.

Question 13

How does AITEZA differ from a DMS or file sharing?

Accepted Answer

A DMS or a file sharing tool stores files and finds them again. AITEZA understands the content: instead of a list of results you get an answer with sources, even across several documents. And your customers access the same dataroom via Relay, always see the latest version and can ask questions themselves.

Question 14

Does AITEZA use my data to train AI models?

Accepted Answer

No, AITEZA never uses your documents or questions to train AI models. They are processed only to answer your requests, as set out in the data processing agreement under Art. 28 GDPR. The AI models run in EU regions, and with a self-hosted model in a private cloud or on-premise, your content does not leave your network at all.

Question 15

How are AI usage and server costs billed in AITEZA?

Accepted Answer

In AITEZA, LLM token costs are billed by usage on every plan, including SaaS, and are never included in the licence price. With SaaS, servers are included in the price, while Standard and Enterprise add external server costs based on usage. You can see these costs in euros directly in AITEZA at any time, broken down by person, group and model, and only pay for what your team actually uses, which is why they are not part of the price calculator. Because you choose the models yourself, or let Auto pick a suitable one per message, you balance answer quality and cost. Auto and self-hosted models are available on every plan.

Question 16

How quickly can I get started with AITEZA?

Accepted Answer

In the AITEZA cloud right away: you create your first dataroom and import existing folders with a ZIP upload. For Standard and Enterprise we set up your own environment and train your team. We are happy to show you what getting started could look like for you in a short demo.

Question 17

Can I see the sources of an answer?

Accepted Answer

Yes. Every answer refers to the documents and passages it is based on. One click opens the original at exactly that passage, so you can check every statement yourself.

Question 18

How much does the AITEZA Relay add-on cost?

Accepted Answer

The AITEZA Relay add-on is charged per licence and month on all licences of your organisation: 8 € for 1 to 20 licences (minimum 40 €), 7 € for 21 to 100, 6 € for 101 to 200, and an individual quote above 200 licences. The price per licence drops as your total number of licences grows. Shares and guests are unlimited. All prices are plus VAT.

Question 19

Who can access my documents?

Accepted Answer

Only the people and groups you share a dataroom with. A new dataroom is private until you grant access, and for each room you decide who works in it as viewer, editor or owner. External guests only see shared rooms via Relay, without needing an account, and only until the expiry date. Administrative access is logged.

Question 20

Can I use AITEZA on mobile devices?

Accepted Answer

Yes. AITEZA runs in the browser on smartphones, tablets and computers, without installing an app. The same applies to your customers who access a dataroom via Relay.

Question 21

Which AITEZA plan is right for more than 200 users?

Accepted Answer

For more than 200 users, we recommend the AITEZA Enterprise plan, because the Standard plan is limited to 200 users. Enterprise offers unlimited users, single sign-on and your own branding, and can run on-premise on your own hardware or in your private cloud. Like Standard, it has a one-off setup fee of 5,000 € and costs 89 € per month for maintenance and updates, plus VAT.

Question 22

How do I manage permissions?

Accepted Answer

New datarooms are private at first. For each room you decide which people and groups work in it as viewer, editor or owner. In the Enterprise plan, sign-in can use single sign-on with multi-factor authentication, for example via Microsoft Entra ID, Okta or Google. The audit log shows who did what and when.

Question 23

How reliable are the answers?

Accepted Answer

AITEZA answers only from the datarooms you connect and names the source of every statement. Figures in Excel and CSV files are calculated with real queries instead of being estimated. This reduces errors from mixed-up projects or estimated numbers. As with any AI, mistakes cannot be ruled out, but one click opens the original passage, so you can spot them right away. Your team still makes the decision, AITEZA prepares it.

Question 24

Who is behind AITEZA?

Accepted Answer

AITEZA is developed and operated by weyer data engineering gmbh, a company of the weyer gruppe based in Düren, Germany. Development is led by Philip Weyer.

Question 25

How does AITEZA protect confidential documents?

Accepted Answer

Your documents are only processed to answer your requests. They are not passed on to third parties and not used to train AI models. Datarooms keep customers and projects strictly separate, and the audit log shows who did what and when. Learn more under control and security.

Question 26

Are AITEZA prices shown net or including VAT?

Accepted Answer

All AITEZA prices are net, plus statutory VAT. This applies to the licences (SaaS 55 € per user per month plus a 199 € monthly base fee, Standard 30 € and Enterprise 40 € per user per month), the one-off setup fee of 5,000 € and the 89 € monthly fee for maintenance and updates on Standard and Enterprise, and the Relay add-on. Usage-based AI token and server costs, as well as services billed by effort, are also invoiced plus VAT.

Question 27

Which files can I upload?

Accepted Answer

PDF, Word, Excel, PowerPoint, OpenDocument, text and CSV, emails in Outlook and EML format, images, voice recordings and archives such as ZIP. Archives are unpacked automatically and keep their folder structure, voice recordings are transcribed and scans made readable with text recognition. You can also import websites. Individual files can be several gigabytes in size.

Question 28

How long has AITEZA been around?

Accepted Answer

AITEZA was founded in 2024 and is in productive use within the weyer gruppe and with external customers. Today more than 500 users work with it.

Question 29

Are there limits on the number or size of files?

Accepted Answer

The number of files per dataroom is not limited, hundreds to thousands of documents are no problem. Individual files can be several gigabytes in size. For very large collections it pays to split them into several datarooms by customer, project or topic: AITEZA then searches more precisely and permissions stay clean.

Question 30

How are the AITEZA servers secured?

Accepted Answer

AITEZA secures its servers with encrypted transfer via TLS, hardening that is checked regularly against the CIS benchmark, automatic vulnerability scans and a virus scan of every uploaded file. The servers are located in data centres in Frankfurt am Main. Administrative access is recorded in an audit log, and in the Enterprise plan sign-in can use single sign-on with multi-factor authentication.

Question 31

Does AITEZA understand drawings and photos?

Accepted Answer

Yes. AITEZA captures what technical drawings, floor plans, diagrams or site photos show and stores a description as knowledge in the dataroom. Your team can ask about it weeks later, together with contracts and minutes. Learn more under images and drawings.

Question 32

Can I run AITEZA on my own servers?

Accepted Answer

Yes. With the Enterprise plan we install AITEZA on-premise on your hardware or in your private cloud, so your documents and datarooms stay entirely within your own infrastructure. Optionally we add your own language model, so no data leaves your network. You will find the terms on the pricing page.

Question 33

Can AITEZA create documents?

Accepted Answer

Yes. AITEZA creates Word, Excel and PowerPoint files in your corporate design, fills your templates with content from the dataroom and translates files, including PDF, without changing the layout. Learn more under documents in your design.

Question 34

Can AITEZA check documents against fixed criteria?

Accepted Answer

Yes, with workflows. You store your criteria once, for example for contracts, quotes or certificates. AITEZA assesses each criterion separately and delivers the result as a table with sources, so the whole team checks against the same standard.

Question 35

Can several people work in the same dataroom at once?

Accepted Answer

Yes. Your team works together in the same datarooms, each person with their own permissions and their own conversations. You share proven instructions via the prompt library.

Question 36

Is a new file searchable right away?

Accepted Answer

Yes, within seconds. As soon as you upload or update a file, AITEZA works with the new version. Earlier versions stay in the change history, and you can refresh imported websites with a few clicks.

Question 37

Which AI models are available?

Accepted Answer

Models from leading providers such as Anthropic, OpenAI, Mistral and Google, run in EU regions. You decide which models are used per company, group and dataroom, and you see the costs in euros per person and model. We connect further models on request. On every plan, Auto can pick a suitable model for each message, and you can also use self-hosted models. Learn more under control and security.

Question 38

Can AITEZA also search the internet?

Accepted Answer

Yes, if you want it to. Outside the datarooms you can switch on a web search that includes current information from the internet, with sources. Inside a dataroom AITEZA answers only from the documents in that room.
